Managing Contacts

INSPECTEXPRESS™ is integrated with MS Outlook to provide contact management and scheduling. This allows the inspector to use Outlook to manage client and agent contacts as well as using the scheduling features that are already built into Outlook. Duplicate data entry is never required.

Importing a contact from Outlook: To import a client or agent from your Outlook contact list, click the Outlook Contact button on the General Information form. The list of available contacts in the last folder you selected will be displayed. To display the list of contacts from another Outlook contact folder, click the Find Folder button on the Find Contact form.

Organizing your Outlook contacts:
To avoid having your entire Outlook contact list displayed every time you select an agent or client to add to the General Information form, you can optimize your results by creating contact folders for the different types of contacts. For instance, create an Outlook contact folder titled 'Realtors' for all your agents, 'Clients' for your customers etc. the software remembers what folder you used last when retrieving an Outlook contact so that only the relevant contacts will be displayed.

Saving a new contact:
For clients and agents that are not already in your Outlook contact list, fill in the appropriate information on the General Information form. Click the Add New Contact button to add this new contact to Outlook. You will be prompted for the correct folder where you want the contact listed. If your contact is already in the list or there are similar entries, Outlook will prompt you to add the entry as a new contact, or update the existing contact.

Updating an Outlook contact:
To update clients and agents that are already in your Outlook contact list, fill in the new information on the General Information form. Click the Add New Contact button.. You will be prompted for the correct folder when you want the contact listed. Outlook will prompt you to add the entry as a new contact, or update the existing contact.
